Job Description
Purpose of the role
To ensure that services provided by BX, or third parties are delivered in compliance with Barclays Policy and Standards and meet contractual agreements relating to cost quality and control.
Accountabilities
- Identification of improvement areas within service delivery processes and procedures to remain efficient.
- Collaboration with various teams to promote alignment between service delivery solutions and the bank's objectives.
- Execution of training and support initiatives to improve the service quality provided by colleagues.
- Collaboration with stakeholders to communicate service delivery performance and any resolve any potential issues.
- Development and maintenance of service level agreements (SLAs) by conducting regular reviews to ensure they remain relevant and effective.
- Management and monitoring of the banks operational team, through the utilisation of data and technology and the alignment of SLAs and KPIs, to ensure that service level agrees are met.
- Implement BX and / or Third-Party Service Management in compliance with Barclays policy and Standards, escalating variance or issues in accordance with governance requirements.

The Expense Reconciliation Manager is responsible for overseeing end-to-end expense reconciliation processes, ensuring the accuracy and completeness of financial records related to employee expenses, vendor payments, corporate card transactions, and accruals. The role requires strong accounting knowledge, analytical skills, and the ability to drive process improvements while ensuring compliance with company policies and financial controls.
Essential Skills:
Expense Reconciliation
· Lead monthly expense reconciliation activities, ensuring timely and accurate closure of accounting periods.
· Reconcile employee expense reimbursements, vendor invoices, and corporate card transactions with the general ledger.
· Investigate and resolve reconciliation discrepancies in collaboration with internal stakeholders and external vendors.
· Prepare reconciliation reports and provide management with insights into outstanding items and corrective actions.
Month-End Close & Accruals
· Manage month-end expense close activities, ensuring adherence to reporting timelines.
· Prepare, review, and validate monthly accruals for employee expenses, vendor invoices, and other operating expenses.
· Ensure accurate accounting treatment of expenses in accordance with accounting standards and company policies.
· Support finance teams during financial close and audit activities.
Vendor & Employee Payments
· Oversee the processing and reconciliation of vendor payments to ensure accuracy and timeliness.
· Manage employee reimbursement payments while ensuring compliance with company travel and expense policies.
· Coordinate with Accounts Payable, Procurement, Payroll, and business stakeholders to resolve payment-related issues.
· Monitor aging reports and outstanding liabilities to ensure timely settlement.
Corporate Card Program Management
· Manage the corporate card program, including card issuance, cancellations, credit limit reviews, and policy compliance.
· Monitor corporate card transactions to identify policy violations and ensure timely expense submissions.
· Partner with card providers to resolve transaction disputes, reporting issues, and program enhancements.
· Develop and maintain controls over corporate card usage and reconciliation.
Financial Controls & Compliance
· Maintain robust internal controls over expense management and payment processes.
· Ensure compliance with company policies, accounting standards, tax regulations, and audit requirements.
· Support internal and external audits by providing reconciliations, documentation, and process explanations.
· Identify process improvement opportunities and implement automation initiatives to enhance efficiency and control.
Stakeholder Management
· Collaborate with Finance, Accounting, Procurement, Payroll, HR, and business units to resolve operational issues.
· Serve as the primary point of contact for expense reconciliation and payment-related queries.
· Develop and monitor key performance indicators (KPIs) and service level agreements (SLAs) for the expense management function.
Qualifications
· Bachelor’s degree in accounting, Finance, Commerce, or a related discipline. Master’s or equivalent professional qualification is preferred.
· 5+ years of experience in Expense Management, Travel & Expense (T&E), General Accounting.
· Experience managing month-end close, reconciliations, accruals, vendor payments, employee reimbursements, and corporate card programs.
Desired Skills:
· Strong accounting knowledge, including accrual accounting, reconciliations, journal entries, and financial reporting.
· Deep understanding of expense management processes.
· Expertise in month-end close activities and balance sheet reconciliations.
· Strong analytical and problem-solving skills with high attention to detail.
· Knowledge of ERP systems such as SAP, Workday, Concur
· Experience with expense management platforms such as Concur, or similar solutions.
· Advanced Microsoft Excel skills and proficiency in financial reporting tools.
· Strong communication, stakeholder management, and leadership skills.
· Ability to manage multiple priorities and meet tight reporting deadlines.
· Continuous improvement mindset with experience in process standardization and automation.
